Frequently asked questions
What details should I include to receive an accurate catering quote?+
Share the event date, full address, estimated guest count, event type, desired meal time, preferred service level, dietary needs, and approximate budget. Also mention beverages, desserts, rentals, florals, bartenders, or any unusual access and setup requirements.
Can I request pricing before the venue or guest count is final?+
Yes. Use your best current attendance estimate and provide the city or general area if the venue is still being chosen. The proposal may remain preliminary until the final address and guest count are known because both can affect delivery, staffing, equipment, and pricing.
How quickly does Napa Catering Company respond to new inquiries?+
Most quote requests receive a response the same business day during normal operating hours. A complex event may require follow-up questions before a complete proposal can be prepared. Detailed information in the first message helps the team respond with more relevant options.
Does submitting the contact form hold my event date?+
No. An inquiry or preliminary proposal does not reserve availability. The event is officially secured only after the required agreement, deposit, or online checkout process is completed. Popular weekends and holiday dates may change while a proposal is being reviewed.
Can I order simple drop-off catering without requesting a proposal?+
Yes. Most straightforward delivery orders can be built and purchased through the online menu. Use the contact form when you need quantity guidance, multiple delivery times, complex dietary planning, staff, rentals, florals, or a more detailed event schedule.
Which communities are included in your general service area?+
We serve Napa and consider events throughout nearby North Bay communities, including Fairfield and Vallejo, as well as other Napa Valley locations. Availability depends on the exact address, event date, order size, and staffing requirements, so always provide the complete event location.
How far in advance should I contact you?+
Most drop-off catering requires at least 72 hours of notice. Staffed events may sometimes be accepted with 10 days of notice, though several weeks is safer. Weddings, winery events, holidays, and bookings requiring substantial rentals or florals should be discussed much earlier.
Is there a minimum amount for catering delivery?+
Most drop-off orders have a $500 food minimum. Boxed meals require at least 25 boxes per meal. Full-service and wedding minimums can vary by package, date, season, and guest count.
Can you recommend quantities when I am unsure how much food to order?+
Yes. Provide the guest count, event duration, meal time, service style, and number of dishes you are considering. The team can help evaluate serving estimates, although the final quantity also depends on guest preferences and how long the food will remain available.
Can a quote include vegetarian, vegan, and gluten-free selections?+
Yes. Many menu items are available for vegetarian, vegan, gluten-free, dairy-free, and nut-free needs. List the exact restrictions and quantities rather than only noting that special meals are needed. Serious allergies should be identified by the specific allergen.
How do I know whether my event needs drop-off or full service?+
Drop-off is a good fit when prepared food can be delivered and your group will manage serving and cleanup. Full service is better when you want staff to handle setup, presentation, replenishment, guest service, and breakdown of the catering areas.
Do you offer tastings for weddings or large events?+
Yes. Mobile tastings are complimentary for booked weddings and may be purchased before a contract is signed. If the wedding is later booked with us, the tasting charge can be removed from the final bill.
What is required to reserve an event?+
After you approve the proposal, a catering agreement is sent for signature. Orders over $3,000 also require a 50% deposit to reserve the date. The remaining balance is due 10 days before the event unless the signed agreement states otherwise.
Can I revise the guest count or menu after booking?+
Yes. Guest-count and menu changes are welcome until 10 days before the event. After that deadline, changes may be limited because food, staffing, rentals, and equipment may already have been committed.
What venue information is most important for a Napa Valley catering proposal?+
Tell us about parking, loading areas, gates, stairs, elevators, long walking distances, kitchen or staging space, electrical and water access, setup windows, outdoor conditions, and firm departure deadlines. These factors can affect labor, delivery timing, equipment, and pricing.
Can the proposal be designed around a specific budget?+
Yes. Include either a total event budget or a target food budget. The team can suggest an appropriate menu and service style, then show food, delivery, staffing, rentals, florals, and other additions separately so you can understand where the investment is going.
Can one team coordinate catering, bar staff, rentals, and florals?+
Yes. Applicable proposals can combine food, service staff, bartenders, tables, chairs, linens, china, glassware, floral arrangements, and tablescape design. Coordinating these elements through one team can simplify setup and reduce gaps between vendors.
Can I plan a Napa event remotely from another city or state?+
Yes. Many events can be planned by phone and email. Provide the venue contact, access instructions, timeline, menu preferences, and a reliable local event-day contact. This is especially helpful for destination celebrations, vacation-rental gatherings, and family events in Napa Valley.
Who should be listed as the event-day contact?+
Choose someone who will be reachable when the delivery or service team arrives and who understands the venue access plan. For weddings or surprise parties, this may be a planner, venue manager, office administrator, family member, or another trusted representative rather than the host.
How should I contact you about an existing quote or confirmed order?+
Use the contact information associated with the order and include the estimate or order number whenever possible. Send changes involving timing, guest count, menu selections, dietary needs, access instructions, or the event-day contact as soon as they become known.
