Privacy Policy

Effective Date: August 1, 2026

Napa Catering Company ("Napa Catering Company," "we," "our," or "us") treats client information as something to be handled carefully, not casually. This notice lays out the personal information we collect, the reasons we collect it, the parties who see it, and the control you keep over it — whether you are reading pages on this site, requesting a wine country catering quote, confirming an event in Napa Valley, working inside the client portal, or sending us a one-line question by email.

By using this website, or by sending us your details through any of those channels, you agree to the practices described here.

1. Information We Collect

Three streams feed into what we hold: what you tell us, what our systems observe while you browse, and what our vendors and event partners pass along.

Details You Provide

The exact mix depends on what you have asked us to do, and may include:

  • Your name, plus the winery, estate, business, school, nonprofit, or family group you represent
  • Email address and phone number
  • Billing information
  • Event date, service time, and guest count
  • Venue location — street, city, state, and ZIP, including tasting rooms, barrel rooms, private estates, and outdoor sites
  • Site logistics: parking and shuttle notes, gate or vineyard access codes, power and water availability, load-in and breakdown windows
  • On-site contacts and the numbers where we can reach them the day of
  • Menu selections, allergy and dietary notes, and special requests
  • Quote requests, revisions, order records, and the messages you send us
  • Payment information submitted through our payment processor
  • Reviews, survey responses, and after-event feedback

Details Collected Automatically

As you move through this site, our platform and analytics tools may log:

  • IP address
  • Device and browser type
  • Pages opened and time spent on them
  • The referring website, search, or ad
  • General geographic area
  • Information captured by cookies, pixels, and comparable technologies

Card Information

Card transactions run through an outside payment processor. We do not intend to store complete card numbers on our own systems, and those processors apply their own privacy and security commitments to the data they handle.

2. How We Use It

Personal information supports the work of quoting, booking, and executing events. We use it to:

  • Respond to inquiries and prepare quotes
  • Draft, revise, deliver, and track catering proposals
  • Confirm and administer booked orders
  • Flag approaching deadlines, outstanding details, and changes affecting your event
  • Provide drop-off catering, staffed and full-service catering, wedding catering, florals, rentals, and boxed meals
  • Assign drivers, event staff, kitchen prep, setup, service, and teardown across Napa, Yountville, St. Helena, Calistoga, American Canyon, and the neighboring Vallejo, Benicia, Fairfield, and Sonoma areas
  • Process deposits, payments, invoices, and refunds
  • Send confirmations, reminders, follow-ups, and feedback requests
  • Refine our menus, this website, and our daily operations
  • Send marketing messages where the law permits
  • Detect fraud, enforce our terms, and protect the business
  • Satisfy tax, accounting, insurance, and other legal obligations

3. Who Receives It

Running catered events takes a network of partners. Information may be disclosed to:

  • Payment processors
  • Hosting providers and software vendors
  • CRM and email delivery services
  • Delivery drivers, event staff, rental houses, floral partners, and similar service providers
  • Advertising, analytics, and marketing platforms
  • Accountants, attorneys, insurers, and other professional advisors
  • Government agencies, courts, or law enforcement when legally required
  • A successor organization in connection with a merger, sale, financing, reorganization, or asset transfer

We do not exchange personal information for cash. Even so, some privacy laws define "sale" and "sharing" broadly enough to reach routine advertising cookies, pixels, and analytics tags. Where those definitions apply, you may opt out.

4. Cookies, Pixels, and Analytics

Cookies and similar technologies may be used on this site to:

  • Keep pages, forms, and the portal functioning
  • Retain choices and entries you have already made
  • Show how visitors travel through the site
  • Measure advertising results
  • Inform improvements to the site and our marketing

Cookies can be blocked or cleared in your browser settings, though certain features may not behave correctly afterward.

5. Email, Calls, and Text Messages

Once we have your contact details, we may reach out by email, phone, or text regarding your inquiry, quote, order, event logistics, missing information, payment, or a service question.

We may also send promotional messages where allowed. Any email we send includes an unsubscribe link, and a direct request to stop works just as well. Operational messages tied to your quotes, orders, payments, deadlines, and event day will continue either way.

6. Security

We apply reasonable administrative, technical, and physical safeguards to the personal information in our care. No method of transmitting or storing data over the internet is completely secure, so absolute security cannot be guaranteed.

Please do not send full card numbers, bank credentials, or similarly sensitive information through ordinary email.

7. Retention

We hold information for as long as it remains reasonably necessary to serve you, administer orders, meet accounting and legal requirements, resolve disputes, enforce agreements, maintain business records, and improve operations. The period varies with the category of information and the obligation attached to it.

  • Limit certain uses of sensitive personal information, where applicable
  • Exercise these rights without receiving different treatment as a result

Use the contact details at the end of this notice to submit a request. We may need to verify your identity before acting on it.

9. Notice for California Residents

California residents hold rights under the California Consumer Privacy Act, as amended. Those may include knowing what we collect, use, disclose, sell, or share; requesting deletion or correction; opting out of the sale or sharing of personal information; limiting certain uses of sensitive personal information; and freedom from discriminatory treatment for exercising those rights.
